A practical checklist

Before you send a practice email

Four quick checks. Requirements vary by council and practice.

01

Identify the practitioner

HPCSA Rule 4 lists the practitioner’s name, profession, category, speciality, abbreviated qualifications, registration number, contact details, consultation hours, practice code and any applicable dispensing licence.

02

Keep claims measured

Keep claims factual. AHPCSA rules prohibit patient testimonials in print and electronic media. The HPCSA “best” example addresses canvassing, not every patient review.

03

Separate practice details

Keep the practice code separate from the practitioner’s registration number. Add it only if issued, and include company details where required.

04

Protect patient information

POPIA addresses notice when data is collected and reasonable safeguards. Use the practice’s approved secure channel; a disclaimer does not secure an email.

Check current HPCSA board or AHPCSA council rules. HPCSA stationery guidance names the “practice code number” but does not prescribe typography or a footer layout. These templates are not a compliance certification.

Four editable starting points

Choose the layout closest to your team

The selected plan sets the team user limit. It does not change which practice layout you can use.

Sources and limits

Use this as a starting point

We checked public guidance on 14 October 2026. The templates are not a compliance certification and cannot decide which rules apply to an individual practice.

Not legal advice.

Public source material

SADA’s public HPCSA guidance library links to professional rules and policies for oral health practitioners. It did not provide a separate email signature format in the material reviewed.
